Cottenham Community Centre Lettings Regulations
1. Applications for the booking of facilities at Cottenham Community Centre must be made in writing using the Facilities booking form.
2. Bookings may be cancelled by the hirer by giving fourteen days notice in writing. Cancellations after this time may incur a charge.
3. The Committee reserve the right by notice to the hirer, to terminate any booking for reasons outside of our control. The Committee shall not be under any liability to the hirer for any loss beyond repayment of any fees paid.
4. The hirer will be responsible for any damage to the building, furniture or other property that occurs during the period of hire. A claim for the repair or replacement (as appropriate) will be made by the Committee against the hirer.
5. The facilities should be left in a clean and tidy state and as they were found. If exceptional cleaning is necessary in consequence of the hirer’s use of the premises, the hirer will be responsible for the full cost of such cleaning.
6. The Committee cannot accept responsibility for any loss, damage or accidents occurring during use of the premises. Particular attention is drawn to the observation of safety regulations, for example fire exits must not be blocked.
7. Materials to deal with spillages of liquids are available in the cleaning cupboard clearly marked off the main hall. It is the responsibility of those using the hall to clean up any spillage immediately.
8. The Committee reserve the right to refuse any application to hire facilities.
9. The Committee hold NO licence for the sale of alcohol or for public entertainment. Therefore, no licensable activity may take place at any time unless a Temporary Event Notice (TEN) to cover the licensable activity has been obtained by the hirer. A copy of any application for a TEN, or a statement indicating that an application will be sought, must be provided to the Committee at the time of booking.
Note that most types of entertainment where the public have access require a licence/TEN, for example performance of live music, exhibition of a film, any playing of non-incidental recorded music. If in doubt, please check with the licensing authority.
10. No nails or fastenings of any kind shall be put into or onto any wall, partition or other fittings or furniture. Posters or similar notices may be affixed only with Blu-Tack or similar material which can be easily removed without causing any damage or mark.
11. All electrical and other equipment brought onto the premises by the hirer or by third parties for use during the hire period is their responsibility and they should ensure that it is fully serviceable and checked.
12. It is possible to park a vehicle in front of the side entrance for the purposes of loading and unloading. Great care needs to be taken when entering and exiting this space as it is located on a busy corner.
13. SMOKING IS NOT ALLOWED in any part of the building.
